Privacy Policy Pertaining to Doc Preparation Inc as ERO

  • Implement "Security Six" Controls: IRS Publication 4557 requires tax professionals to implement six specific technical controls to protect taxpayer data:
    • Antivirus and anti-malware software
    • Firewalls for network protection
    • Full-disk and mobile device encryption
    • Multi-factor authentication (MFA) for all accounts accessing taxpayer data
    • Backup systems that follow the 3-2-1 rule (three copies, two media types, one offsite)
    • Virtual Private Networks (VPNs) for secure remote access
  • Control Data Access: Limit access to taxpayer data to authorized personnel, conduct employee background checks, and require confidentiality agreements. Access controls should apply to both physical and electronic data.
  • Obtain Informed Consent for Use or Disclosure: IRC Section 7216 prohibits tax preparers from disclosing or using taxpayer information for purposes other than tax preparation without the client's specific, informed, and written consent. This consent form is standardized in its content and format.
  • Train Employees: Provide security awareness training for all staff, covering topics such as identifying phishing emails and other scams. Training should be mandatory for new hires and conducted as an annual refresher for all employees.
  • Conduct Risk Assessments: Perform regular risk assessments to identify vulnerabilities in security controls and document a plan for remediation. This includes evaluating the security of physical premises, computer systems, and operational procedures.
  • Vet Service Providers: Ensure that any third-party service providers you use have policies and procedures in place to maintain an adequate level of information protection.
